WE NEED VOLUNTEERS!

We need 50 volunteers at Grace Church & Whirlyball to make this party a success!

Parents of 9-12th graders at Shakopee High School/Tokata Learning Center or adult community volunteers age 21+ only.  If you have a teen 18+ who has already graduated and would like to volunteer, please email shakopeeseniorgraduationparty@gmail.com to ask what positions are available.

 

SENIOR PARENTS:  Please note that the graduation ceremony is generally from 6-8pm.  If you'd like to volunteer as a Bus Captain and/or at WhirlyBall after the ceremony, please let us know in the signup that you are a "senior parent" so that we know to expect you a little later than the start time for your volunteer shift.

Please review the list for areas of need. After you sign up, we will send an email in the weeks prior to the party with more specifics.

The current SSGP committee is preparing to step aside, and we’re looking for parents of current Shakopee High School students to step in and carry this tradition forward.

Over the years, we’ve built organized systems, templates, and clear processes that make each role easy to learn and repeat. You won’t be starting from scratch — everything is designed to help the next team transition smoothly and confidently.

Please take a moment to review the available roles and consider where you might be able to help. With many hands involved, we can ensure this special celebration continues for our seniors year after year.

Committee Lead (1):  Oversee the full committee, serve as the main point of contact, schedule and lead meetings, provide agendas, ensure members understand their roles, and step in where support is needed.

Treasurer (2):  Track expenses and provide regular financial updates to the committee. Accounting experience and comfort working with spreadsheets are helpful.

Fundraising & Community Outreach (3):  Help organize existing fundraisers and bring new ideas to the table. Reach out to local businesses for donations using our provided spreadsheets, contact lists, and editable solicitation letter.

Event Planning Committee (4): Shadow current planners to see how we secure the venue, review contracts, and organize the party setup. You’ll gain hands-on experience and be prepared to take the lead next year.

 

Volunteer Coordinator (1): Create SignUpGenius links for volunteer roles at each fundraiser using reusable templates for easy duplication each year. Signup Genius skills are helpful but not necessary.

 

Communications Coordinator (2): Manage parent and community emails using current templates, maintain contact lists, and coordinate with the high school liaison for newsletter inclusion. Basic computer and spreadsheet skills are helpful; Wix experience is a plus.

 

Craft Show Committee (3):  Assist our craft show coordinators in recruiting vendors, coordinating gym space with the school, assigning booths based on our established layout, and helping promote the event.

Senior Signs Coordinator (2):  Work with current coordinators to learn how to order and distribute senior yard signs for all graduates.

Social Media Coordinator (1): Post all fundraisers on our Facebook page, create events, design images in Canva using editable templates, and share events in other local groups to help spread the word.
